Frequently Asked Questions

Knowledge Center

What is financial planning and analysis (FP&A) and why does it matter for small businesses?

FP&A is the function within a business responsible for budgeting, forecasting, financial modeling, and performance analysis. In large corporations, FP&A is a dedicated team. For small and mid-sized businesses in DFW, it is often missing entirely — which means ownership is making major decisions based on last month’s bank balance rather than a clear financial model of where the business is headed. Parr & Ibarra provides FP&A services that give smaller businesses the same financial visibility that enterprise companies take for granted: rolling forecasts, variance analysis, scenario modeling, and KPI reporting that turns raw financial data into actionable intelligence.

A budget is a plan — it defines the revenue targets and spending limits your business intends to operate within for a given period, typically one year. A forecast is a projection — it reflects the most current estimate of where your business is actually headed based on real performance data, pipeline, and market conditions. Budgets are set at the beginning of the year and held relatively fixed. Forecasts are updated regularly — monthly or quarterly — as new information becomes available. Businesses that only budget without forecasting often discover variances too late to respond. We help DFW businesses build both and use them together to manage financial performance proactively.

Margin benchmarks vary significantly by industry, business model, and scale. A construction company, a professional services firm, and a restaurant operate at fundamentally different gross and net margin levels. Rather than comparing your margins to a generic benchmark, we analyze your margins in the context of your specific cost structure, pricing model, and competitive environment — and identify where margin is being lost and why. Common culprits include underpriced services, untracked overhead, labor inefficiency, and owner compensation that is not properly structured relative to the business’s profit level.

Cash flow management is one of the most direct applications of FP&A for DFW businesses. A 13-week cash flow forecast — updated weekly — gives ownership a clear, rolling picture of cash inflows and outflows, allowing you to anticipate shortfalls before they become crises and make informed decisions about timing, spending, collections, and financing. Many businesses that struggle with cash flow are actually profitable — the problem is timing mismatches between when revenue is collected and when expenses are due. FP&A tools identify those mismatches and give you the lead time to manage them.

At minimum, every business should review three core reports monthly: the income statement (profit and loss), the balance sheet, and the cash flow statement. Beyond those, we typically recommend a budget-versus-actual variance report to track performance against plan, an accounts receivable aging report to manage collections, and a rolling 13-week cash flow forecast. For businesses with multiple revenue lines, locations, or service types, we build segment-level reporting that shows profitability by division rather than just at the consolidated level. If you are currently only reviewing a bank balance and a P&L, you are making decisions with an incomplete picture of your financial position.
